The Role:

An excellent opportunity has arisen for an Export administrator to join our client`s friendly team in their sales and customer support department. The main purpose of the role will be to:

- Work with the International Business Development Manager (IBDM) and the International Business Quotations & Project Manager (IBQPM) to handle all export enquiries and queries from end users and distributors across the world.

- To organise and manage the movement of products, equipment and materials and raise necessary export documentation for sales to distributors and end users across our export markets.

- Work with the IBDM to utilise key account management techniques to build relationships, identify prospects and grow sales in export markets.

Main Duties & Responsibilities:

- Overall responsibility for the processing and handling of customer purchase orders and the raising of returns, invoices and credit notes for export customers using the appropriate software.

- Manage the movement of products/equipment/materials in and/or out of the country in accordance with organisational policy and procedure, and to comply with relevant local, country and international legislation and process.

- Manage the necessary documentation and online forms for the efficient, cost-effective and lawful execution of all import/export activities.

- Maintain and share with colleagues as appropriate, personal knowledge of all relevant import/export law, current legislation requirements and procedures; tariffs and duties; licences and restrictions.

- Manage financial and currency processes and transactions in accordance with policy and law, and optimise cost-effectiveness of activities.

- Support the IBDM in their role of ensuring that export customers adhere to their trading terms and that any credit/ debt collection issues are handled effectively.

- Communicate with export and import and related authorities, customers and suppliers, in all relevant territories and countries, as necessary to ensure efficient, positive and lawful relations, support and activities

- Prepare and submit relevant administration in a timely and accurate manner, for example: shipping schedules; letters of credit; ECGD documents; credit control mechanisms; licences; declarations; packing, routing, transport and safety documentation.

- Plan and manage the effective and necessary conversion of weights, sizes, values, and quality standards interpretations between importing and exporting systems and territories.

- Manage language and communications translation issues and activities as necessary to enable effective relations, distribution and integration of imported/exported material, product and equipment to customers (for example handling instructions, operating manuals, product training, etc).

- Coordinate the despatch of products, equipment and marketing collateral to support the company`s presence at overseas exhibitions, events or shows, ensuring that all despatch deadlines and paper work requirements are met.

- Deal with queries from export customers both over the telephone and via email.

- Liaise with other departments to ensure efficient and effective customer service.

- Maintain personal and professional development to meet the changing demands of the job and to participate in appropriate training activities.

- Cooperate with the company on health and safety matters and comply with the company health and safety policy and procedures.

- Cooperate with the company on quality matters and comply with the company quality policy and procedures to promote a culture of customer service excellence within the company.

Preferred Skills, Qualifications and Experience

- Minimum of 2 years` experience in export administration is essential.

- The successful candidate must have experience of preparing and producing documents for export (including Letters of Credit, ATA Carnets, customs documentation, certificates of origin, etc) as well as experience of working with shipping agents, forwarders, freight companies, couriers and Chambers of Commerce.

- Minimum qualification requirements - Maths & English at GCSE level grade A-C, or equivalent.

- Experience of creating and processing orders and invoices is desirable.

- Excellent customer service skills are essential.

- Good communications skills, both verbal and written, and an excellent telephone manner is essential, along with the ability to develop relationships, listen and interact with customers and contacts at all levels.

- The successful candidate must have a strong eye for detail, supported by high levels of numeracy with the ability to analyse and interpret data.

- Energetic, self-motivated, highly responsible, well organised and positive team player.

- The successful candidate must be able to work under pressure and to tight deadlines.

- Candidates should be IT literate and confident users of Microsoft Office applications. Knowledge of SAP Business One would be desirable.

- We are looking for someone reliable, committed and proactive with a ?can-do`, sleeves rolled up attitude and a genuine enthusiasm for their work.

Additional Information

Normal hours of work will be Monday to Friday 08:00 - 16:00 or 09:00 - 17:00 with an unpaid break of 30 minutes per day.

This role will require on the job training as well as the possibility of further external training requirements.
