Service & Maintenance Administrator - Three Counties Refrigeration provide complete temperature control solutions, services and maintenance to all our customers in the East Anglia region and across the UK. Our company was established in 1954 and pride ourselves in helping businesses big and small. We are looking for experienced Service & Maintenance Administrator to join our growing team based from our East Anglia branches.

We are looking for an experienced Service & Maintenance Administrator to provide administrative support to the service centre operation, who will be the first point of contact for customers.

Other responsibilities include:

• Reporting to the Ipswich Service Centre Manager, organising the engineering staff to ensure work is carried out in an effective and efficient manner and planning and scheduling of service, maintenance and installation work
• Working with all members of the centre engineering team, including, the branch manager, sales and project engineer/s, senior engineer/s, service, installation and maintenance engineers and trainees
• Direct liaison with existing customers, potential new customers, suppliers and other business partners and arrange service and maintenance visits with customers, obtaining order numbers and renewal of maintenance contracts.
• Working with other service centre managers, service managers/administrators an the accounts department and other members of the P&R staff.
• Raising job cards and associated documentation to support the day to day operation
• Procurement of equipment, services and sub contractors to support projects and day to day operations. This will include placing orders with suppliers, progressing outstanding order, overseeing delivery and checking in goods and equipment
• Processing of internal paperwork to allow the smooth operation of the service centre, this includes: job cards, work reports, engineers' timesheets, maintenance sheets, purchase orders and delivery notes.


Skills and attributes required:

• Basic knowledge of Health and Safety in the workplace is required, suitable training will be provided to identify any hazards specific to our work place.
• Have a good telephone manner is required as the majority of customer contact is by telephone.
• Proficient use of various computerised office systems and other IT will be required.
• The ability to handle various tasks in a busy customer orientated environment is essential.
• Ability to organise varying work loads and manage planned work schedules.


This is a full-time position working 08:00 - 17:00 with a one hour lunch break, offering a competitive salary, depending on experience.
