We currently have a great opportunity for a Helpdesk Coordinator. You will be working within the Glasgow Servest Arthur McKay Helpdesk Team, providing a professional and customer focussed service. You will be required to both work on your own initiative and also as part of a team.

Main duties and responsibilities will include but are not limited to:

• Allocating work and closing off jobs to engineers and sub-contractors
• Raising purchase orders to sub-contractors for reactive works
• Effective jeopardy management of jobs within designated area
• Assisting with system closures for PPMs
• Effective tasking and direction of engineering workforce to complete reactive, quoted and planned maintenance tasks
• Working in conjunction with the Operations Manager, Account Managers and Building Service Managers to ensure seamless management of contracts
• Booking in reactive and PPM jobs with clients
• Acting as first point of contact for engineering workforce and sub-contractors
• Overflow for Client calls
• Assisting in keeping WIP levels on contracts to a minimum by ensuring timely completion of jobs.
• Providing weekly reports on jobs logged / completed / outstanding
• Providing figures for monthly KPI reporting
• Providing contract information on a monthly basis for contract reports
• Providing support to Commercial Administrators where required
• Taking health and safety into consideration with support from management

Skills, Experience and Qualifications:

• Strong Customer service skills
• Proven Helpdesk experience
• Experience working with CAFM system
• Strong knowledge of Microsoft Office packages
• Knowledge and understanding of property related issues
• Experience of working to deadlines and effective time management
• Excellent organisation skills
• FM experience desirable
• Strong planning and organisational skills
• Flexibility
• Team worker
• Exceptional telephone manner

This role may require Disclosure Scotland, Baseline or other similar security clearance may also be required.

Hours and Environment

The post will for 40 hours per week and be based in Hillington, Glasgow. Working hours are from 08:00am to 17:00 Monday to Friday, however additional overtime may also be required to meet the needs of the business.
