Office Administrator - Spider are pleased to be working with a leading innovator, designer and manufacturer of roof waterproofing membranes in searching for an Office Administrator on a part time basis, based in Ipswich, initially to cover maternity cover.

As Office Administrator you join a small team to answer telephone calls, fielding enquiries to relevant colleagues as well as monitoring, implementing and maintaining various administrative processes. Duties include:

• Looking after our approved installer programme - monitoring applications, liaising with customers, collating responses and maintaining accurate records and contact lists.
• Organising and booking skills workshops, in collaboration with the training centre and the QA team. Preparing kits and issuing operative cards to successful trainees.
• Issuing, filing and uploading Quality Audit (QA) reports from site visits.
• Checking warranty applications and preparing, logging and issuing certificates.
• Assisting the PAs with reception duties, greeting visitors to the office, answering the telephone and email enquiries and directing these to the correct member of staff.
• Maintaining health and safety policies and staff training records, overseeing office safety contracts and ensuring the first aid box is fully stocked.
• Assisting with PA work as needed, for example emailing specs, quotations and other correspondence on behalf of the technical sales team, maintaining project folders, filing, etc.
• Other admin tasks for the Operations Manager and Managing Director as and when required


Skills and Attributes:

• A friendly and helpful telephone manner and clear verbal and written communications skills.
• Good level of computer literacy including: Word, Excel, Outlook and CRM systems although training will be given.
• Ability to prioritise tasks and work to deadlines, while paying attention to detail.
• Proactive attitude and a willingness to collaborate closely with colleagues as well as to take responsibility for working independently if required.
• Flexibility as a small, busy office so occasional flexibility to provide cover for holidays and other absences in the administration team



This is a part-time role on a fixed term contract to cover maternity leave until November 2019, but this may be subject to change. Salary on offer is £17,500 per annum on a pro rata basis. The role is 25 hours over 5 days (5 hours per day Monday to Friday). Ideally to fit around the existing team working 12.30 to 5.30pm but for the right candidate there may be some flexibility in the hours. On offer is 25 days holiday plus bank holidays which would be pro-rata for the role.
